3.7  How to upload (submit) your scan

The information you provide will help us catalog this book correctly and will help others to find it!
Detailed information on how to fill out the metadata fields is what Chapter  5. The metadata  is all about.


Note:  It is often helpful to gather all the necessary metadata information before logging onto the website.  Typing the metadata into a word processor (or Notepad, or similar text editor) ahead of time allows it to be easily proofread and spellchecked.  Then it can be easily copied and pasted into the fields as you submit the book.


A.  How to get to the Submit a Book page

      1)  If you're not already logged in to the Bookshare.org website, log in, using the email address you
           provided when you signed up.

      2)  After you log in, the blue bar at the top of the page is your Task Bar.

      3)  On the left side of your Task Bar, select Volunteer Home.

      You're now at the Volunteer Home page.

      4)  On the left side of the Volunteer Home page, under In This Section, select Submit a Book.

B.  Browse to the file on your computer

      You're now at the Submit a Book page.


      1)  Click the Browse button

      2)  Browse to the folder on your computer that contains your file.

      3)  Select the file and click Open

For more information on how to fill out the metadata fields, either:
*  Go to the beginning of Chapter  5. The metadata

    or

*  Click the headings below that are links, to be taken to that specific section of Chapter 5.


It may be helpful to have a separate window open to Chapter 5.  Windows users can open a new window while also keeping this window open, by doing a  Control + Click  on the link above.


C.  Select the Language(s)

      -  The Main Language of a book is the language in which the majority of the book's content is written.

      -  The default Main Language is English US (American English).

      -  Often a book will contain only one Main Language, and one need not do anything with the two
         drop-down lists for the Second Language and Third Language.

      1)  If the Main Language of your book is English US (American English), and your book contains only
           one language, keep the default settings for all three drop-down boxes and skip to step 4.

      2)  If the Main Language of your book is not American English, click the "down arrow" symbol on the
           right side of the drop-down list to see the other languages.  Select the Main Language.

      3)  If appropriate, select a Second Language and Third Language for your book.

      4)  Click the Upload button.

      5)  An intermediary screen appears and may remain for some time while an analysis is done.
           This screen is titled:  Your Submission Is Being Processed - Please Wait.


           Special note for users of screen readers
           There may or may not be feedback for users of screen readers depending on which screen
           reader is being used and the screen reader's settings.  If a screen reader does provide information
           from the progress bar during the upload, the submitter should not automatically assume that a book
           has failed to upload if the percentage reaches 100% and remains there for some time, since the
           progress bar is not always correct!

D.  The first Book Information page:  Spellchecker,  AC,  Text quality,  ISBN

      1)  Quality Analysis

           This report at the top of the page provides details of your scan:
           *  the number of unique misspelled words and the total number of occurrences of those
              misspelled words,
           *  the number of page breaks, and the "page range" that was detected, and
           *  a determination of whether this book needs to be marked as having  Adult Content.

      2)  Text Quality

           Based on an automated tool, Bookshare.org will give the book a rating of:
           *  Excellent or above.  The scan contains an average of less than one error (junk characters
               or other scanning errors) per page.

               or
           *  Good or above.  The scan contains an average of two or less errors per page.

           This automated rating may be overridden by the proofreader if necessary, but one can almost
           always leave this setting as one finds it.


      3)  The ISBN number

           The ISBN is usually found either on one of the first few pages of the book, or in the lower
           corners of the book's back cover.

           a.  If the ISBN number is available:
                *  Type the 10- or 13-digit ISBN in the field labeled ISBN
                *  Click Next
                *  Bookshare will attempt to "auto-fill" some or all of the metadata for this book into the next
                   screen.

           b.  If you can't find the ISBN in the book,
                or
                If you receive an error message stating that the ISBN is invalid, and after checking you
                determine that you typed it correctly, then:
                *  Just leave the ISBN field blank
                *  Click Next
                *  You will manually enter the metadata on the next page.

E.  The second Book Information page:  The main metadata page

       ISBN

       *  If you entered the ISBN on the previous page, it will be shown here.
       *  If it is not shown, enter it in the field provided.
       *  If you do not know the ISBN, you must enter both a Brief Synopsis and a Complete Synopsis.


       Title  (required)

       *  Should be in the same language as the content of the book,
       *  Should not be in all caps,
       *  Should not be in all lowercase.


       *  For books with a Subtitle in addition to the Title, please use this format:
                Example
                The Witness: An Inner Sanctum Mystery

                Title: Subtitle
                Title  +  colon  +  1 space  +  Subtitle


       *  If the book is part of a series, please add the series name and if available, the series number
          to the title.  A recommended format is:
                Example
                The Hidden (Animorphs #39)

                Title (Series name #Series number)
                Title  +  1 space  +  open parens  +  Series name  +  1 space  +  # (a pound sign)  +
                Series number  +  close parens


       Author(s)  (required)

       *  Put the first name first and the last name last:

                Wrong:        London, Jack
                Right:         Jack London

       *  Separate multiple authors by placing a comma between the names, not "and", nor "&", nor "/".
                Example
                Wrong:        Joe Morton and Frank Shaw
                Right:         Joe Morton, Frank Shaw

       *  Drop all titles, honorifics, occupations, degrees, etc.
                Example
                Wrong:        Dr. Frank Jones III
                Right:         Frank Jones

       *  Put a space between initials.
                Example
                Wrong:        H.H. Hall
                Right:         H. H. Hall


       Copyright Holder(s)  (required)

       *  The Copyright Holder and Copyright Date are often on the back of the title page.

       *  If more than one Copyright Holder exists, use the Copyright Holder and Copyright Date for the text
          of the book (other sections such as the Preface or Introduction, for example, may have a separate
          Copyright Holder).

       *  The Copyright Holder is precise legal language and must be entered exactly as it appears in
          the Copyright Notice of the original book.  Don't follow the guidelines for entering Authors!

       *  Even if you are sure the book is in the public domain, the original copyright information is
          required for all submissions.


       Copyright Date  (required)

       *  If there is more than one Copyright Date for the text of the book, use the most recent date.


       Publisher

       *  Enter the name of the publisher as shown on the book cover or on the copyright page.
       *  Enter:
           -  either the Imprint or the Publisher.
           -  either a subsidiary company or the parent company.


       Brief Synopsis  (required)

       *  Enter a brief synopsis of the book (less than 50 words).
       *  You must complete this field if you did not specify an ISBN above.


       Complete Synopsis  (aka:  Long Synopsis)

       *  If desired, enter a more extensive synopsis of the book.
       *  You must also complete this field if you did not specify an ISBN above.

F.  Categorize this book

      *  You must select at least one category which you think applies to the book.

      *  Though a maximum of four categories may be selected, please try and restrict your selection
          to the three most relevant categories.

      *  When possible, we strongly recommend making 1 of the 4 choices of Categories be either:
          -  Literature and Fiction
             or
          -  Nonfiction.


      Books designated as containing Adult Content will not be available to users younger than 18.
      If your submission contains levels of profanity, violent content or sexual words inappropriate for
      these readers, please check the box "This book has adult content".

      For Bookshare's official policy on what constitutes Adult Content, please refer to the section in
      Chapter 5 titled:  Adult Content

G.  The Comments box for Submitters

       Enter any comments that might be helpful for the volunteer who will be proofreading your
       submission, along with any information that an Administrator might need to know during the
       Administrative Approval process.

       Proofreaders very much appreciate it if you include your e-mail address when you
       submit your scan.  If they encounter a problem that requires your help, this will allow
       them to contact you.

H.  If you receive an error, please check before Submitting again

       If you receive an error message, please don't try to submit your book again right away.  The error
       message may be incorrect and your submission may actually have succeeded.

       Before you make another attempt to submit this book, please go to the Checkout List first to verify
       that the book is not there.  You may find it there and thereby prevent uploading a second copy of
       the book by accident.

       If you submit the same book twice, two different volunteers may check out the different copies for
       proofreading, resulting in confusion for the submitter, both proofreaders, staff, plus a duplication of
       effort.
